Terms of Service

Last updated: 17/10/26

Who we are

Telpen Edu is a school-management service operated by Telpen Systems Limited, a private limited company registered in Kenya (“we”, “us”). These terms apply to every school, college and person who uses Telpen Edu at app.telpen.net or through the Telpen Edu Android app. By creating a school or continuing to use the service you accept these terms.

The service

Telpen Edu lets a school manage learners, staff, fees (including M-Pesa), assessment, attendance, timetables, parent messages, learning materials, online classes and other school operations. Each school's records are kept separate from every other school's. The school decides what it records and who on its staff can see it.

Subscriptions and prices

A new school gets its first month free. After that the subscription is KES 10,000 per term per school (per semester for colleges), or the equivalent price shown at checkout in the school's currency. Staff and parents never pay to use Telpen Edu.

The subscription renews each term or semester until it is cancelled. Prices may change; we will tell the school at least 30 days before a new price applies to its next renewal. Taxes such as VAT are added where the law requires them.

Payment

Schools in Kenya can pay by M-Pesa. Orders paid through our online checkout are processed by Paddle.com, which is the Merchant of Record for those orders and acts as our reseller. Paddle handles payment, invoicing and the tax due in the buyer's country, and its buyer terms apply to those purchases.

Cancellation and refunds

A school can cancel at any time; the service stays available until the end of the paid term or semester. If a school does not renew, its records become read-only for a short grace period and can be exported on request. Refunds follow our refund policy.

Acceptable use

You must not use Telpen Edu to:

  • break the law, including data-protection and child-protection laws;
  • commit fraud, send spam or impersonate anyone;
  • upload material that infringes someone else's rights;
  • access another school's records, probe or disrupt the service, or get around its security.

Your data and ours

The school owns the records it enters. We process them only to provide the service, as described in our privacy policy. We own Telpen Edu itself: its software, design, name and content. These terms give the school a right to use the service, not ownership of it.

Availability

We work to keep Telpen Edu running and backed up, but we do not promise that it will always be available or free of errors. We are not liable for indirect or consequential losses, and our total liability to a school is limited to the amount it paid us in the 12 months before the claim, except where the law does not allow such a limit.

Suspension and ending the service

We may suspend or close an account that breaks these terms, puts other schools at risk, or remains unpaid after the grace period. Where we can, we will warn the school first and give it the chance to export its records.

Changes and governing law

We may update these terms; material changes are posted here with a new date. These terms are governed by the laws of Kenya.
